Administrative Assistant
Looking for a task coordinator to help the team triage, complete and track multiple logistical tasks associated with partners, sales, demos, documents, etc.

Position Duties and tasks:

? Responded to inquiries regarding department services, policies, and procedures.
? Created and processed a variety of administrative records using internal and external databases.
? Working directly with clients from Latin America and other parts of the world.
? Create digital records of customers and keep documentation updated.
? Manage the complex scheduling by communicating seamlessly with stakeholders and the internal team.
? Preparing non-disclosure agreements for sharing and execution.
? Supplying technical documentation to potential and current channel partners as well a scheduling meetings
? Entering client request in Microsoft Dynamics.
? Prioritize, balance, multitask competing issues based on impact to end user, customer urgency, length of outstanding issue and political sensitivity.
? Promote and maintain high quality, professional, service-oriented company image with customers and internal staff.

Requirements:

? The ideal candidate would be bilingual in English and Spanish
? Excellent written and verbal skills in both outbound client facing and internal employee communication.
? Proficiency in Microsoft Office products including Outlook, Excel, Word, Skype, and Teams.
? Effectively able to manage appointment request based on calendar availability for support staff.
? Strong organizational skills with the ability to multitask on several issues as well as managing request from internal departments across various communication media.
? Ability to work well with others in a team-oriented support environment.
? Excellent customer service skills to effectively address end user support request, questions or concerns.
? Flexible and Dynamic.
? Agile Thinker.
? Well organized.
? Flexible schedule (Must)

ADVANCED ENGLISH LEVEL (MUST)

Education
? 2 years of experience in a similar role (Administrative Assistant)
? Microsoft Office certification is a plus but not required.
? Experience with ambulatory based software and services including but not limited to EHR/EMR software, Practice Management solutions, MIPS/Meaningful user and electronic prescribing of medications preferred but not required
